9.5 Overseas recipients are likely to include The Arc Agency contractors in the Philippines.
9.6 Before The Arc Agency makes any cross-border disclosure of your personal information to a region without comprehensive data protection laws, we will take such steps as are reasonable in the circumstances to ensure that the overseas recipient does not breach this policy.
10. CPD Sessions and Showroom Tours
10.1 If you attend an ArcCPD Live session, a Group Presentation CPD session (whether delivered online or face-to-face), or a showroom tour facilitated by The Arc Agency, we may share your contact details (including your name, email address, job title, and organisation) with the relevant presenting supplier(s), host venue, and/or CPD accreditation body.
10.2 This information is shared for the purposes of issuing CPD attendance certificates, enabling the relevant supplier to follow up with you regarding the content, products, or services presented, and maintaining accurate attendance records for accreditation and reporting purposes.
10.3 We take reasonable steps to ensure your information is only used for these purposes, in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
10.4 If you do not wish for your information to be shared in this way, please contact us prior to attending. Please note this may affect your ability to receive a CPD attendance certificate.
11. Event Exhibitor QR Code Scanning
11.1 If you attend a The-Arc Event and allow your attendee QR code to be scanned by an exhibitor or partner, we will share your contact details with that third party, and you may be contacted by them after the event.
11.2 Your personal information will then be handled by that third party in accordance with their own privacy policy and data handling practices.
11.3 The Arc Agency is not responsible for how your information is managed by third parties once it has been shared in this way. You are under no obligation to have your QR code scanned.
12. Government Identifiers
12.1 We will not use or disclose any government identifier of you, such as your driver licence number, unless reasonably necessary to verify your identity for the purposes of providing our products and services.
13. Security
13.1 Personal information is stored in a manner that reasonably protects it from misuse, loss, unauthorised access, modification, or disclosure.
13.2 The Arc Agency seeks to ensure that personal information held by, or for, the company is:
a) stored on secured servers in controlled facilities if in electronic form,
b) archived in secure filing systems if in hard copy form, and
c) only accessible by authorised personnel, whether in electronic or hard copy format.
13.3 When your personal information is no longer needed for the purpose for which it was obtained, The Arc Agency will take reasonable steps to destroy it, or permanently de-identify your personal information.
13.4 Most of your personal information is, or will be, stored in client files and kept by The Arc Agency for a minimum of 7 years.

14.1 The Arc Agency may use the personal information we collect from you to identify products and services that you may be interested in or thought to be relevant to you, and then use direct marketing communications to let you know about these products and services.

15.3 The Arc Agency will not charge any fees for your access request but may charge an administrative fee for providing you a copy of your personal information.
15.4 To protect your personal information, The Arc Agency may require identification from you before releasing the requested information.

16.2 If you find that your personal information held by The Arc Agency is not up to date or is inaccurate, please advise as soon as practicable so we can update your records.
