Terms & Conditions

The Arc Agency Pty Ltd

By registering to attend an event hosted by The Arc Agency, you agree to the following Terms and Conditions. For the purposes of these Terms and Conditions, all experiences coordinated by The Arc Agency — including but not limited to The-Arc Events, Showroom Tours, and Bespoke Events — are collectively referred to as "The Event." 

 

1. Attendance and Registration


1.1 All attendees must register via the designated registration form or platform. 

1.2 Attendees must be 18 years of age or older to attend. By registering, you confirm that you meet this age requirement. 

1.3 Attendance is non-transferable without prior written approval from The Arc Agency. 

1.4 The Arc Agency reserves the right to refuse entry or remove any person from the event whose behaviour is deemed disruptive, unsafe, or in breach of these terms. 

1.5 Children and minors under the age of 18 are not permitted to attend.

2. Code of Conduct

2.1 All attendees, presenters, sponsors, and staff are expected to conduct themselves in a professional and respectful manner at all times. 

2.2 Harassment, discrimination, intimidation, or offensive behaviour will not be tolerated under any circumstances. 

2.3 This includes (but is not limited to) inappropriate language, unwanted physical contact, aggressive behaviour, and disrespect toward event staff, fellow attendees, or venue personnel. 

2.4 Anyone found to be in breach of this Code of Conduct may be removed from the event and may be barred from future events hosted by The Arc Agency. 

3. Injury

3.1 By attending a The-Arc Event, you acknowledge and accept that participation in event activities may involve certain risks, including the risk of personal injury. 

3.2 The Arc Agency takes all reasonable precautions to ensure attendee safety; however, attendees are responsible for their own safety and well-being throughout the event. 

3.3 In the case of injury, first aid may be provided by venue or event staff. If the situation is serious, emergency services will be contacted.

3.4 The Arc Agency does not accept liability for any injuries sustained before, during, or after the event unless caused by proven negligence. 

4. Liability

4.1 Attendees participate in The-Arc Events at their own risk. 

4.2 The Arc Agency, its affiliates, partners, and venues accept no responsibility for any loss, injury, damage, illness, or personal accident incurred as a result of attendance. 

4.3 Attendees are responsible for their personal belongings. The Arc Agency is not liable for any lost or stolen items. 

4.4 The Arc Agency shall not be liable for any delay or failure in performance due to events beyond its reasonable control, including but not limited to acts of God, natural disasters, power failure, government restrictions, labour disputes, or venue unavailability. 

4.5 The Arc Agency is not liable for any claims, damages, or losses arising from the actions or services of third parties involved in or associated with the event, including but not limited to caterers, transport providers, or exhibitors. 

4.6 Attendees agree to indemnify and hold harmless The Arc Agency and its affiliates, staff, and partners from and against any claims, liabilities, damages, or expenses arising out of their attendance or actions during the event.  

5. Alcohol Service

5.1 Alcohol may be served at certain events. Attendees must be 18 years or older to consume alcohol and may be asked to show valid photo ID. 

5.2 The Arc Agency encourages responsible consumption of alcohol and reserves the right to refuse service or request an individual to leave the premises if they appear intoxicated or behave inappropriately. 

5.3 Venue staff and/or event organisers reserve the right to stop alcohol service at any time.


6. Food and Allergies

6.1 Food and beverages may be served during the event. While The Arc Agency and its catering partners aim to accommodate dietary restrictions where possible, we cannot guarantee the absence of allergens (including but not limited to nuts, dairy, gluten, or shellfish). 

6.2 It is the responsibility of each attendee to inform staff of any allergies or dietary requirements ahead of time. 

6.3 The Arc Agency is not liable for any allergic reactions or health issues resulting from food or beverage consumption at the event. 


7. Photography and Media

7.1 By attending the event, you consent to being photographed or filmed. These images or recordings may be used for promotional purposes by The Arc Agency across marketing materials, including digital platforms and social media. 

7.2 If you do not wish to be photographed or filmed, please inform the event organisers upon arrival. 

8. QR Code Scanning  

8.1 By allowing your attendee QR code to be scanned by an exhibitor or partner, you acknowledge that your contact details may be shared with that third party and you may be contacted by them after the event. 

8.2 Your personal information will be handled by the third party in accordance with their own privacy policy and data handling standards. 

8.3 The Arc Agency is not responsible for how your information is managed by third parties. You are under no obligation to have your QR code scanned.

9. Changes and Cancellations

9.1 The Arc Agency reserves the right to cancel or reschedule events due to unforeseen circumstances or events beyond its control. 

9.2 Where applicable, attendees will be notified of any significant changes via the contact details provided during registration. 

10. Accessibility

10.1 The Arc Agency is committed to making its events as inclusive and accessible as possible. While we aim to select venues that are wheelchair accessible and accommodate a range of needs, accessibility features may vary depending on the location. 

10.2 If you have specific accessibility requirements (e.g. mobility support, accessible parking, Auslan interpretation, dietary needs related to health conditions, or assistance animals), we encourage you to contact us in advance so we can do our best to accommodate your needs. 

10.3 Please reach out at least 7 days prior to the event via [insert contact email or phone number] to discuss any arrangements or adjustments that may be required. 

11. Travel and Transport

11.1 Attendees are responsible for making their own travel arrangements to and from the event venue. The Arc Agency is not liable for any travel delays, parking issues, or costs incurred unless otherwise stated. 

11.2 In some cases, The Arc Agency may offer Uber vouchers (up to the value of $20 AUD) to assist with transport. These are valid only within a specific time frame and for use to or from the designated event venue. 

11.3 Voucher availability, time limitations, and venue-specific terms will be communicated to eligible attendees prior to the event. Vouchers are non-transferable, cannot be exchanged for cash, and are subject to Uber’s own terms and conditions. 

11.4 The Arc Agency accepts no responsibility for transport-related incidents, delays, or app-related issues. 

12. Market Research Participation

12.1 From time to time, The Arc Agency may invite attendees—particularly industry specifiers—to participate in market research activities, either during or after an event. These may include interviews (conducted by a third party on behalf of our client) or online surveys. 

12.2 Participation in any market research activity is entirely voluntary and optional. 

12.3 If you choose to participate, your responses may be shared with our client, who may use the information to inform product development, marketing strategy, or business insights. 

12.4 Any personal information collected as part of market research will be handled in accordance with both The Arc Agency’s and the client’s respective privacy policies, which will be provided or made available to you prior to participation. 

12.5 You may choose to remain anonymous where possible, and you are free to decline any questions you do not wish to answer. 

12.6 In some cases, participation in research activities may be incentivised with a gift or voucher (e.g. a gift card). Eligibility for these incentives will be clearly stated at the time of invitation and may be subject to limits such as quantity caps, timeframes, or one-per-person conditions. Incentives are not redeemable for cash and are non-transferable unless otherwise specified. Incentives are fulfilled and distributed in accordance with the provider’s terms and conditions, which may include electronic delivery and responsibility for logistics and timing. 

13. Intellectual Property

13.1 All content shared during the event—including presentations, materials, and recordings—remains the intellectual property of the presenter, exhibitor, or The Arc Agency. This content may not be recorded, reproduced, or distributed without prior written permission. 

14. Exhibitor Disclaimer 

14.1 Views and statements expressed by exhibitors or third parties during the event are their own and do not necessarily reflect those of The Arc Agency. 

14.2 The Arc Agency does not accept responsibility for the accuracy or reliability of third-party information, products, or services presented at the event.

15. Communication Opt-In

15.1 By registering for this event, you consent to receiving relevant follow-up communications from The Arc Agency, including post-event emails, feedback requests, and future event invitations. 

15.2 You may unsubscribe from communications at any time using the link provided in our emails. 

 

16. Privacy

16.1 Your personal information is collected and handled in accordance with The Arc Agency’s Privacy Policy. We may contact you post-event regarding feedback or future event opportunities. You may opt out at any time. 

16.2 Please refer to our full Privacy Policy for more information on how your data is collected, used, stored, and protected.

17. Severability

17.1 If any clause of the Terms and Conditions is found to be unlawful or invalid, it will be separated from the rest of this Terms, which will remain valid to the extent permitted by law.

18. Updates 

18.1 The Arc Agency reviews its Terms and Conditions regularly and places updates on its website.
